When a laundry attendant logs an intake transaction in the TAPOSna POS interface, the system records specific data points necessary to execute the laundry service and print the 58mm claim stub:

• Customer Identification: Customer first name or alias, used exclusively for identifying laundry baskets, claim receipts, and pickup confirmation.
• Mobile Phone Numbers: Philippine mobile telephone numbers (e.g., 0917-xxx-xxxx) used solely for sending automated transactional SMS updates regarding laundry order status (such as Ready for Pickup notices).
• Transaction and Garment Data: Intake weight in kilograms, selected service categories (wash, dry, fold, press), detergent and fabric conditioner add-on choices, and attendant notes.
• Payment Reconciliation Records: Payment method (Cash tendered with change computation, or GCash with optional customer reference numbers for cashier audit reconciliation).

When a laundry shop owner registers for a TAPOSna subscription or creates staff accounts, we collect:

• Shop business name, branch locations, and municipal addresses.
• Owner and administrative contact details (email address and direct mobile telephone number).
• Attendant operator credentials and counter PIN codes used for cashier shift tracking.
• Billing records and subscription status for the TAPOSna counter license.

We process personal information strictly for legitimate operational purposes directly tied to the commercial laundry workflow:

• Generating authentic 58mm thermal claim receipts with unique alphanumeric tracking codes.
• Powering self-serve live order status lookups for customers via unique web claim links.
• Dispatching transactional SMS notifications when orders transition between wash, dry, fold, and pickup stages.
• Enabling counter shift reconciliation and daily cash vs GCash balancing for the shop management.

To respect customer privacy and reduce counter data exposure, TAPOSna applies a structured data lifecycle schedule:

• Active Order Window: Order records remain actively queryable via claim links while in progress and for 90 days following pickup completion for dispute resolution.
• Accounting Archive Window: Sales totals, kilogram metrics, and cashier reconciliations are retained in aggregated format for 180 days for tax and store reporting.
• Right to Purge: Shop owners may request automated scrubbing or anonymization of historical customer phone numbers at any time from their administrative controls.

TAPOSna implements strict role-based counter controls. Counter attendants can only perform intake, advance wash cycles, and mark orders as claimed. Counter attendants cannot perform bulk exports of the customer contact book.

All shop data is cryptographically and logically isolated using database row-level security. Attendants or owners of one laundry facility can never view or access records from another facility.
